Keyho: property management software and mobile app for managers, cleaning teams and owners

Keyho brings apartments, cleaning teams, booking calendars, tasks with photo proof, work orders and invoices into one web workspace and a mobile app for iOS and Android. Here is what it does and why property managers should try it.

Property management still runs on WhatsApp and spreadsheets

If you look after holiday rentals for owners, your day probably looks like this: bookings in Airbnb, Booking.com and Vrbo calendars, cleaners coordinated in WhatsApp, hours and expenses in a spreadsheet, and owners asking for updates by email. Every tight check-out → check-in turnover depends on someone remembering to message the right person — and when something goes wrong, there is no record of who did what.

Keyho replaces that patchwork with one operations platform for property managers (keyholders), their cleaning and maintenance teams and apartment owners — on the web and in a mobile app.

What Keyho is

Keyho is keyholder-first operations software. The property manager creates apartments, invites the team and runs the daily work; the owner is optional and joins for transparency and approvals. You can start with the clients you already have — the marketplace is optional too.

Everything is organised around five core operations: apartments and clients, calendar and occupancy, tasks and team, work orders and repairs, invoices and reports. Each role gets its own workspace — manager, worker (cleaning or maintenance) and owner — and the interface speaks 9 languages, including English, Spanish and Ukrainian.

One calendar for the whole portfolio

Connect each apartment's iCal feed from Airbnb, Booking.com or Vrbo and Keyho builds a single calendar with check-ins, check-outs, cleanings, inspections, key handovers, repairs and blocks. Switch between portfolio, apartment, owner and worker views and toggle the bookings, work and availability layers.

Between every check-out and the next check-in Keyho builds a turnover plan and rates the window as normal, tight or impossible — so you spot a risky changeover days before the guest arrives, not when they are already at the door.

The Needs attention view collects every decision in one deduplicated queue: tasks waiting for review, unassigned work, turnovers at risk and new service requests. Open it in the morning and you know exactly what to fix first.

Tasks with proof, not “done” in a chat

Every cleaning or repair is a task with an address, a time window, a price and a clear status. The worker starts a live timer, adds before and after photos and submits the work for review. The manager approves it or returns it for correction with a comment. Nothing gets lost in a chat thread, and every apartment keeps a full timeline of what happened and who did it.

Pay is set per task — fixed or hourly — and workers can propose schedule changes that the manager accepts in one tap.

The team app: Today, task timer and earnings.

The Keyho app for iOS and Android is built for people who work on the move. A worker opens Today and sees the day's jobs, the location with access details and the next action. One button starts the timer, another finishes the work. Photos go straight from the camera into the task, and messages stay attached to the apartment or task they belong to.

The Earnings screen shows approved hours, work in review, money awaiting payment and paid amounts, and lets the worker create an invoice for approved work. Recent data is cached on the device, so schedules and task details stay readable even with a weak signal.

The whole portfolio in your pocket

Property managers get the same power in the app as on the web: see which workers are active right now, open the portfolio calendar and the Needs attention queue, manage apartments, owner collaborations, the marketplace and the team. Web and mobile follow the same server rules, so an action on your phone means exactly the same as on your laptop.

Push, email and in-app notifications tell you when work is submitted, a turnover gets tight or an owner approves a repair.

Finance: from approved hours to invoices

Time approvals unlock team payouts and owner billing.

Keyho closes the money loop that usually lives in spreadsheets. Approved time and expenses become periodic worker → manager invoices. Work orders and repairs become manager → owner invoices with draft, issued, paid and cancelled states. Each role has its own ledger, and everything exports to PDF and CSV.

The finance hub starts with whatever blocks money from moving: time approvals, team payouts, owner invoice actions and repairs waiting for approval. Clear the queue and the books are clean.

An owner portal that builds trust

Owners review invoices, approve repairs and follow updates.

Owners no longer need to call for updates. In their own workspace — web or mobile — they see occupancy, work orders, repairs and a timeline of everything the manager shares. Repairs wait for the owner's approval before money is spent, and invoices can be approved, questioned or downloaded in a click.

Collaborations can be paused or ended with confirmation from both sides, and the history stays in place. Transparency becomes part of your service instead of extra work.

find.keyho.app: new clients from the marketplace

Owners describe what they need, local managers reply with offers.

Keyho also helps you grow. On find.keyho.app an apartment owner describes the help they need in a 5-step wizard: location, apartment, services, details and review. Services include regular checks, key holding, cleaning coordination, guest preparation, repairs and local emergency help. After moderation the request appears in the marketplace, local managers send offers and chat with the owner, and an accepted offer turns straight into a collaboration with apartments, work and invoices connected from day one.

Why Keyho is worth trying

One place instead of five tools. Calendar, team, tasks, chats, owners and invoices live together and link to each other.

Proof by default. Timers, photos and reviews make quality visible to you and to your owners.

Built for the field. A real mobile app for the team, not a desktop page squeezed onto a phone.

Owner optional, marketplace optional. Start with your existing clients and add the rest when you are ready.

Your data stays yours. Downgrading a plan never deletes data — active timers, invoices and history stay available. GDPR tools include data export and controlled account deletion.

Multilingual teams. 9 interface languages for managers, workers and owners.

Plans that grow with your portfolio

The plan belongs to the property manager — workers and owners don't need their own subscription.

Operate — to get started: one apartment, two workers, tasks with proof, owner collaboration, chat, work orders, repairs and basic owner finance.

Manage — up to 10 apartments, 10 workers and 10 owners, time tracking, worker finance, iCal calendar sync, standard analytics and exports.

Automate — up to 50 apartments and 50 workers, automation rules for recurring and turnover tasks, advanced portfolio analytics and AI assistance as it rolls out.

Keyho is in beta. If you manage apartments in Tenerife, the Canary Islands or anywhere in Spain, now is the best time to join and help shape the product.
